AI Terms
Last Updated: October 19, 2026
How Ask Xtimates and the follow-up drafts work, what goes to the model provider, and what never happens. Xtimates is a brand of Dycern LLC.
1. What these terms cover
These terms are between Dycern LLC, doing business as Xtimates ("Xtimates", "we", "us"), and your company. They add to the Terms of Service (xtimates.com/legal/terms) and cover the two features in the dashboard that use a language model: Ask Xtimates, and the "Draft a follow-up" button on an estimate. There are no others today. If we add one, we'll update this page first.
2. What Ask Xtimates is
Ask Xtimates is a chat box in your dashboard. You ask in plain words, like "how many estimates this month?" or "what did Facebook cost per estimate in March?", and it answers from your own numbers. It keeps a history of your questions so you can go back to them.
3. How it answers
It can only read your account, and only through a fixed set of read-only tools. Each tool returns numbers the dashboard already shows you. The model picks which tools to call, we run them against your account, and the model writes the answer from what came back. The chips under each answer show which tools it read.
| Tool | What it returns |
|---|---|
| overview_metrics | Estimates by source, booked jobs, ad spend and job value for a date range |
| facebook_metrics | Spend, results and cost per estimate from your connected Facebook ad account |
| google_ads_metrics | Spend, results and cost per estimate from your connected Google Ads account |
| billing_summary | This period's lines, past invoices and your plan |
| guarantee_progress | Your day in the window, the count so far, and the four condition lights |
- It can't change anything. It can't move an estimate, flag one, edit a setting, send an email or make a charge.
- It can't read another client's account, your connection tokens, your payment details, or anything outside those tools.
- It doesn't browse the web and it doesn't know anything about your business that isn't in your dashboard.
- If the tools don't hold the answer, it says so rather than guessing.
4. Follow-up drafts
On an estimate's page, "Draft a follow-up" writes a short text or email for you to send to that person, using the request's details (their name, what they asked about, where it came from, its stage). The draft is copy only. It is never sent automatically, we don't send it for you, and nothing reaches the homeowner unless you paste it into your own phone or email and press send. Once you do, it's your message: you're responsible for its content and for following the contacting rules in the Acceptable Use Policy (xtimates.com/legal/acceptable-use).
5. The model provider
The model is provided by Anthropic through its API. For each question or draft, we send Anthropic your question, the numbers the tools returned, and for a draft, that one request's details. We send nothing else: no tokens, no payment details, no other client's data.
- Anthropic doesn't use what we send through its API to train its models, under its commercial terms.
- We don't train models on your data or your customers' data, and we don't let anyone else.
- Anthropic processes the data in the United States and is listed as a sub-processor in the Data Processing Addendum.
- If we ever switch providers, we'll update this page and the Privacy Policy before the change.
6. Accuracy and limits
A language model can be wrong, and can be wrong confidently. Ask Xtimates reads real numbers, so its arithmetic is usually right, but it can misread a question, pick the wrong date range, or phrase a result badly. Check anything that matters against the dashboard page it came from. Your Billing page and your invoices are the record of what you owe, not a chat answer. Nothing Ask Xtimates says is legal, tax or financial advice, and nothing it says changes the guarantee, which is tracked on the Guarantee page.
7. Your chat history
Your questions and the answers are stored with your account so you can scroll back. Only people in your company with access to your dashboard can see them; our staff can see them when you ask us for help. They're deleted when your account is, as the Data Deletion (xtimates.com/legal/data-deletion) page describes, and you can ask us to clear them sooner.
8. Acceptable use
- Don't try to make the model reveal another client's data, our prompts, or anything outside the tools. It can't, and trying breaks the Acceptable Use Policy.
- Don't use drafts to contact people who asked you to stop, or in ways the law doesn't allow.
- Don't feed it other people's personal information in your questions. It only needs your question.
9. Changes and contact
We may add tools, change the model version, or improve the drafts. A change that lets the features read more than they do today, or send anything on your behalf, will be announced on this page and by email before it goes live. These terms are governed by the laws of the State of Indiana. Dycern LLC, doing business as Xtimates. Questions: support@xtimates.com.
